What we collect

• Your work email address, and the colleagues you add.
• Your organisation’s details, including a contact email and phone number you choose to give.
• Listings, documents and messages you post, and any deal outcomes you report.
• Grower licence documents, seen only by Hemp-ex admins for verification.
• Essential cookies: one session cookie to keep you signed in. No advertising or tracking cookies.

How we use it

To run the marketplace, verify growers, send the emails you need (sign-in links, enquiry and alert notifications), keep the platform safe, and produce anonymised, aggregated market data. Our lawful basis is legitimate interests in operating the service, and contract where you use it to trade.

Who sees it

Organisation names, districts and listings are public. Contact details are shared with another member only when you choose to share them in an enquiry. Data is hosted in Microsoft Azure UK South. Map backgrounds are loaded from OpenStreetMap, which receives your browser’s IP address when the map displays; postcode districts are looked up with postcodes.io. We do not sell personal data.

How long we keep it

We keep account, organisation and listing data while your account is open and delete it within 12 months of closure. Deal reports are kept only in anonymised form. Licence documents are deleted 12 months after the licence expires or the account closes, unless we must keep records by law. You can ask us to close your account at any time.

Your rights

You can ask for access to, correction or deletion of your personal data, or object to its use, and you can complain to the Information Commissioner’s Office (ico.org.uk).
